Purpose of this privacy policy

This privacy policy aims to give you information on how we collect and process your personal data through your use of this website and the Presence Project App including any data you may provide through this website or otherwise.

It is important that you read this privacy policy together with any other privacy notice or fair processing notice we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. This privacy policy supplements any other policies and notices and is not intended to override them.

This website and the app is not intended for children and we do not knowingly collect data relating to children.

2. The data we collect about you

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

We may collect, use, store and transfer different kinds of personal data about you which we have grouped together follows:

  • Identity Data includes first name, last name and location via your internet protocol (IP) address. Contact Data includes address, email address and telephone numbers.

  • Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website.

  • Profile Data includes your username and password, feedback and survey responses.

  • Usage Data includes information about how you use our website, products and services.

  • Communications Data includes your preferences in receiving information from us and your communication preferences.
    We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data may be derived from your personal data but is not considered personal data in law as this data does not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature. However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy policy.
    We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, philosophical beliefs, sex life, sexual orientation, political opinions, trade union

membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

We use different methods to collect data from and about you including through:

    • subscribe to the Presence Project app & Website ;

    • request information to be sent to you;

    • supply details at a live event

    • replying to a survey; or

  • Automated technologies or interactions. As you interact with our website & App, we may automatically collect Technical Data about your equipment, browsing actions and patterns. We collect this personal data by using cookies, server logs and other similar technologies. We may also receive Technical Data about you if you visit other websites employing our cookies. We will only use your personal data where you consent to us using your personal data, for example when you correspond with us or

request a newsletter (your consent can be withdrawn by you at any time as set out in this policy).

We may have to share your personal data with the parties set out below for the purposes set out in the table in paragraph 4 above. We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

6.International transfers and data sharing
We do not transfer your personal data outside the European Economic Area (EEA) save that we occasionally use services such as Send Grid. Send Grid servers are based in the USA. Send Grid is certified under the EU-US Privacy Shield program and we will ensure that any other transfers meet all legal requirements.
Our web site is hosted by Square Space and App is hosted by Redemption Media.

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are required to do so.
